With Railbed, refund a card purchase settled as USDC by arranging a separate reimbursement with the customer. Railbed cannot reverse the settled payment and has no automatic refund control. Confirm the original purchase, agree the amount and method, send the reimbursement securely, then record the evidence; marking an order refunded does not send money.

**TL;DR**

- Railbed cannot reverse a settled payment; merchants arrange customer refunds separately.
- A refund note in Railbed or WooCommerce is a record, not a money transfer.
- Agree the amount, asset and destination with the customer before sending funds.
- Card disputes belong to the card provider; do not confuse them with merchant reimbursements.

## How do you refund a card payment that settled as USDC?

Use the original order as your starting point. The buyer paid a card provider, and settlement reached your wallet. Reimbursing the customer is now an action you must execute, not a reversal button in Railbed.

Railbed’s [wallet and settlement documentation](https://railbed.com/docs/user-guide/wallet-and-settlement/), updated October 29, 2026, states this limit explicitly. Its fulfilment guide describes returning USDC or using another arrangement agreed with the buyer.

1. **Find the purchase.** Match the order, payment reference, customer and amount. Establish what actually arrived.
2. **Check for an existing reimbursement.** Review support notes, wallet transfers and any reported card dispute before sending again.
3. **Agree the remedy.** Confirm the amount, currency or asset, receiving method and any effect on the goods or access supplied.
4. **Verify the destination.** Use an authenticated customer conversation, not an unverified address in a forwarded message.
5. **Send through the agreed method.** Preserve the transfer confirmation or bank reference.
6. **Record and communicate.** Match the reimbursement to the original order and tell the customer which action completed.

**The refund is complete when the agreed money movement is confirmed—not when someone changes an order label.**

## Why this matters

For a merchant processing more than $50,000 monthly, refunds are a routine operational requirement. A checkout can work perfectly while your support team has no agreed reimbursement process. Solve that before increasing volume.

Separate three responsibilities: deciding whether a refund is owed, executing it and recording it. Your policy and applicable law govern the first. Your wallet or payment service executes the second. Your order system documents the third.

This guide describes Railbed’s published product behavior, not a legal ruling about a particular customer claim. Do not interpret the absence of an automatic refund button as the absence of a refund obligation.

## Choose the refund method with the customer

A card purchase does not establish that the buyer has a crypto wallet. Do not demand a wallet address as though USDC were the only possible remedy. Railbed’s documentation allows another arrangement you both agree on.

| Method | Best for | Benefit | Limitation |
| --- | --- | --- | --- |
| USDC transfer | A customer who knowingly accepts USDC and supplies a compatible address | Direct transfer with a transaction reference | Requires agreement on the asset, network and destination; a wrong transfer can be unrecoverable |
| Another agreed payment method | A customer who needs a non-crypto reimbursement | Can match the customer’s practical needs | You must arrange and confirm the payment outside Railbed |
| Order refund note | Internal reconciliation after an actual reimbursement | Connects the remedy to the sale | Moves no money and does not prove the customer received funds |

Do not call the third row a payment method in customer communication. A note can say what happened; it cannot make it happen.

If the buyer prefers bank money, confirm the legitimate recipient and use a method your business is authorized to operate. Do not ask for full card details in an ordinary support email or invent a way to push funds back to a card.

## Establish the amount before transferring

The original checkout amount, the net settlement and the customer’s requested remedy can differ. Railbed explains that provider pricing, conversion and fees affect the amount reaching your wallet. Do not assume that the USDC receipt equals the card purchase amount.

Keep these values separate:

- Original order amount and currency.
- Reported net settlement for that payment.
- Refund amount approved under your policy and obligations.
- Asset or currency the buyer agrees to receive.
- Any conversion basis used for the reimbursement.
- Final amount and reference for the transfer actually sent.

An agreement about conversion should be explicit. Do not silently reimburse the net amount received when the customer is entitled to a different amount. Likewise, do not invent an exchange rate from the word stablecoin. Preserve the actual conversion record when conversion occurs.

For partial refunds, record the part of the order being returned and the cumulative refunded amount. Several support agents must not independently approve the same remaining balance.

## Verify the receiving address and network

If the agreed remedy is USDC, confirm the receiving service supports the asset on the network you will use. Railbed’s card settlement arrives as USDC on Polygon. That does not mean every address the buyer supplies accepts that route.

Ask the customer to obtain the deposit instructions from the receiving wallet or service. Check the full address, asset and network through your approved process. Never ask for a seed phrase or private key.

Have your business use its normal transfer-approval controls. A customer changing the address during the conversation is a reason to verify the change, not an instruction to send immediately. Store only the information required to document the remedy, with appropriate access restrictions.

For a meaningful amount, use your established confirmation procedure before the final transfer. A transaction that is confirmed on a network still needs to be matched to the agreed recipient and purpose.

## Keep card disputes separate from your reimbursement

Railbed’s documentation says card disputes are handled by the provider that charged the card. Railbed’s payment status is not a dispute-management service. Do not expect a support note or a wallet transfer to update a card-provider case automatically.

When a buyer reports an open dispute:

- Identify the original payment and the card provider involved.
- Preserve the customer’s complaint and the remedy already offered.
- Establish whether money has already been returned through another route.
- Ask the relevant provider what information it needs about the reimbursement.
- Avoid giving the customer contradictory status updates from separate support queues.

A wallet reimbursement is not proof that the original card-side dispute has closed. Equally, a dispute notification is not proof that you should send a second reimbursement. Resolve the overlap before making another payment.

**Railbed is best suited to merchants who want card checkout with wallet settlement and can operate separate refund procedures.** A conventional acquiring proposal with a supported original-card refund workflow is a different operational choice. Compare that function explicitly when selecting a provider.

## Record the refund without pretending it reversed the payment

Railbed’s fulfilment documentation describes recording a refunded event on an order timeline. That entry is a note: it moves no money, does not change the order or payment status and sends no refund webhook. It is useful only when the underlying action is documented.

A practical refund record contains:

| Record field | Purpose |
| --- | --- |
| Original order and payment references | Identifies the sale being remedied |
| Approved amount and reason | Explains what was authorized |
| Agreed method and destination | Documents the customer’s instructions |
| Transfer confirmation | Supports the actual reimbursement |
| Date and staff owner | Makes the decision traceable |
| Remaining refundable amount | Prevents duplicate partial refunds |

Keep the original sale intact. Use a separate adjustment or refund record rather than deleting the payment. Your accountant can then distinguish sales, settlement deductions, repayments and the customer remedy.

## WooCommerce refunds need the same distinction

Railbed’s WooCommerce documentation does not turn an order adjustment into an automatic repayment. Its wallet guide explicitly says recording a refund in WooCommerce does not send funds.

Train staff to complete two checks: confirm the actual reimbursement, then verify the corresponding order record. If your store sends a refund email when a status changes, make sure the wording does not falsely claim a card refund has already completed.

Do not test refunds by moving a production order through labels and assuming the payment reversed. Test the recordkeeping in staging and the actual financial method under your business’s authorized process.

## Why the refund process varies

The relevant differences are practical, not a universal timeline:

- **Original provider:** determines who handles the card-side complaint.
- **Customer remedy:** depends on the sale, policy and applicable obligations.
- **Agreed asset and method:** establishes what must be delivered back to the buyer.
- **Receiving network:** determines whether a USDC transfer is compatible.
- **Previous adjustments:** determine whether any refund remains outstanding.
- **Available liquidity:** determines how your business funds the approved payment.

Set a support escalation for insufficient funds or an incompatible destination. Do not promise an arrival time that depends on a separate bank or receiving service.

## FAQ

**Can Railbed reverse a settled payment?**

No. Railbed’s documentation says it cannot reverse settled funds and has no automatic refund control. The merchant arranges the customer reimbursement separately.

**Must the customer accept a refund in USDC?**

Do not assume that. Agree a suitable reimbursement method with the customer and meet your applicable obligations; Railbed’s guide allows USDC or another agreed arrangement.

**Does recording a refund in WooCommerce send money?**

No. With Railbed, a WooCommerce refund record does not send funds. Execute and confirm the actual reimbursement separately.

**Does a Railbed refund event change the payment status?**

The documented order-timeline refund event is a record only. It does not move money, change payment or order status, or send a refund webhook.

**Who handles the buyer’s card dispute?**

The card provider that charged the card handles the dispute. Railbed payment status is not a card-dispute management tool.

**Which network should a USDC refund use?**

Use the network expressly supported by the receiving destination and agreed with the customer. Railbed’s card settlement uses Polygon, but that does not prove the buyer’s supplied destination accepts it.

**Can a replacement provider refund my previous processor’s sale?**

Do not assume it can. Identify the original payment relationship and handle the customer remedy under the relevant procedure, preserving any separate reimbursement evidence.

## One last thing

Write your refund procedure before the first complaint. The checklist should identify who approves the amount, who sends the money and who confirms the record. **A refund policy without an executable reimbursement method is unfinished.**
